Making a Data Subject Access Request (DSAR)


The personal data that we collect about you, and hold, is important to us and is handled in accordance with our Privacy Policy.  Where we hold personal data about you, you have the right of access to that personal data. You are known as the data subject, which means that you are the living person who is the subject of the personal data we hold.  You can request a copy of the information we hold and have the right to correct any inaccuracies you may identify.  Application is by a Subject Access Request that is free of charge.  Where a request is unfounded or excessive, or you make a request for further copies of the same information, then we do have the option to charge a reasonable fee based on the administrative cost of providing the information.  

You are entitled 

  • to be told whether personal data about you is being held and being used
  • to be given a description of the personal data and to have access to it

We must provide the information to you without delay and at the latest within one month of receipt of your request.  This time starts to run from when we have the documentation to complete the identity checks.  For complex or numerous requests, we are able to extend this period by a further two months.  If the request is complex, then we will always contact you within one month of the receipt of your request to clarify the scope of your request, get further details about your request and explain why the extension is necessary.  

Making a request for your personal information

The Data Protection Act 2018 and the UK General Data Protection Regulation provide you with a right of access to the personal information we hold about you.  Your request may come in many forms, and it may be simpler to help us find the information, if you can use the Form provided or put your request in writing by post or email and send it to:

Please provide as much detail as possible to help us find the information. The more details you can provide, the more likely we are to be able to find the information you seek. If we do not have enough details, then we will contact you to help us answer your request.

Checking your identity

Before we provide the personal data to you, we must be satisfied that you are entitled to it.  We need proof of your identity and that you are the same person as the data subject.  This is to ensure that we do not disclose personal information to the wrong person. The details we need to process your request:

  • Your full name
  • Address and contact details

We will also need two copies of forms of identification from you.  These can be from the following list:

  • Passport
  • Driving licence
  • Birth certificate
  • Utility bill (from last 3 months)
  • Current vehicle registration document
  • Bank statement (from last 3 months)
  • Rent book (from last 3 months).

We accept copies of the documents but do prefer to see originals.  All original documents should be sent by recorded delivery and we will return them to you using recorded delivery also.  These are sensitive personal documents, and we respect your personal information and that it must be held securely in accordance with our Privacy Policy.

If someone is making a request on your behalf, then we will require a written authorisation signed by you and evidence that it is a genuine request, e.g. proof of their relationship to you such as a full birth certificate.

If you are dissatified

If we refuse the request, and cannot resolve your request to your satisfaction, then we will always explain how we reached that decision and let you know about your right to complain to the Information Commissioner:
